Refund and Cancellation Policy

This Refund and Cancellation Policy explains the rules applicable to tour enquiries, confirmed reservations, cancellations, date changes, missed tours and refunds for services offered by Cappadocia Bayar Travel.

By confirming a reservation through WhatsApp, telephone, email or another agreed communication channel, you agree to the cancellation conditions communicated before confirmation and to the general terms stated on this page.

1. Tour Enquiries Are Not Confirmed Reservations

Submitting a website form or opening a prepared WhatsApp message does not create a confirmed reservation.

A reservation becomes confirmed only after Cappadocia Bayar Travel has confirmed the following details in writing:

  • Selected tour or activity
  • Tour date and departure time
  • Number of guests
  • Pickup location
  • Total price
  • Deposit or payment requirements
  • Applicable cancellation conditions

2. How to Request a Cancellation

Cancellation requests must be sent through the same WhatsApp number, email address or communication channel used for the reservation.

Your cancellation request should include:

  • Reservation name
  • Telephone number
  • Selected tour
  • Tour date
  • Number of guests
  • Reason for cancellation, where relevant

A cancellation is considered received only after it has been acknowledged by Cappadocia Bayar Travel. Merely sending a message does not guarantee that the cancellation has been processed.

3. Standard Group Tour Cancellations

Unless different conditions were communicated before confirmation, the following general cancellation conditions apply to standard group tours:

  • More than 24 hours before departure: The reservation may be cancelled without a cancellation fee.
  • Less than 24 hours before departure: The payment or deposit may be non-refundable because vehicles, guides and operational capacity have already been allocated.
  • After the tour has started: No refund will be provided for unused portions of the service.

Where a supplier, vehicle operator or another third party applies stricter conditions, those conditions will be communicated before the reservation is confirmed.

4. Private and Customised Tour Cancellations

Private ATV tours, private Jeep Safari tours, classic car experiences, electric classic vehicle tours, photo shoots and specially arranged services may require vehicles, drivers or other resources to be reserved exclusively.

Because of this, private or customised reservations may have different cancellation deadlines, deposit requirements or non-refundable costs. These conditions will be communicated before confirmation.

Costs already paid to third-party suppliers specifically for a private reservation may be deducted from any refundable amount where legally permitted.

5. Date or Time Changes Requested by the Guest

Requests to change the tour date, departure time, guest number, vehicle or pickup location are subject to availability.

Where sufficient notice is provided, we will make reasonable efforts to change the reservation without an additional fee. However, a change cannot be guaranteed until it has been confirmed in writing.

A price difference may apply where:

  • The new date has a different seasonal price
  • The number of guests changes
  • A different vehicle or private service is requested
  • The tour duration or route changes
  • Additional transfers or services are required

A requested change made shortly before departure may be treated as a cancellation where the original reservation cannot be resold or reassigned.

6. Late Arrival and No-Show

Guests must be ready at the confirmed hotel, meeting point or pickup location at the stated time.

A guest may be considered a no-show where the guest:

  • Does not arrive at the confirmed pickup point
  • Provides an incorrect hotel or location
  • Cannot be contacted using the supplied telephone number
  • Arrives too late for the tour to operate safely or on schedule
  • Chooses not to participate after the vehicle, guide or service has arrived

No-show reservations and missed departures are normally non-refundable.

Where operationally possible, we may offer a later departure or alternative date, but this is not guaranteed and may involve an additional charge.

7. Hotel Pickup and Transfer Conditions

Guests are responsible for providing the correct hotel name, address and pickup details before departure.

Where pickup from the requested location is not available, a nearby meeting point may be provided. Failure to attend the confirmed meeting point may be treated as a no-show.

Delays caused by traffic, hotel access restrictions or other operational conditions may affect pickup times. Reasonable delays do not automatically create a right to cancel or receive a refund.

8. Weather Conditions

ATV, Jeep Safari, classic car and electric vehicle tours are outdoor activities and may be affected by weather, road and environmental conditions.

Where the tour can operate safely, cloudy weather, light rain, wind, dust, temperature changes or reduced visibility do not automatically create a right to cancel or receive a refund.

For safety or operational reasons, Cappadocia Bayar Travel may:

  • Change the route
  • Adjust the departure time
  • Reduce access to a particular location
  • Use an alternative viewpoint
  • Replace a vehicle with a suitable alternative
  • Postpone or cancel the activity

9. Sunrise, Sunset and Balloon Views

Sunrise, sunset and hot air balloon views depend on weather, visibility, seasonal timing and official flight decisions.

Hot air balloon flights are operated by independent companies and may be cancelled by the relevant aviation authorities.

Where the booked ATV, Jeep, classic car or electric vehicle tour can still operate, the absence or cancellation of hot air balloons does not by itself create a right to cancel the tour or receive a refund.

If your reservation was explicitly sold as a separate balloon-related service, the specific conditions confirmed for that service will apply.

10. Cancellation by Cappadocia Bayar Travel

We may cancel, postpone or materially change a tour where necessary because of:

  • Unsafe weather or road conditions
  • Vehicle breakdown or technical failure
  • Official restrictions or decisions by public authorities
  • Insufficient operational capacity
  • Guide or driver unavailability
  • Natural events or circumstances outside our reasonable control
  • Any condition that may create a serious safety risk

Where we cancel a confirmed service before it begins, the guest will generally be offered one of the following:

  • An alternative departure time
  • An alternative tour date
  • A comparable replacement service
  • A credit for future use
  • A refund of the amount paid for the cancelled service

The most appropriate option will depend on availability, the nature of the service and the circumstances of the cancellation.

11. Route and Vehicle Changes

Tour photographs, routes, viewpoints, vehicle colours and vehicle models shown on the website are representative.

A specific vehicle model or colour is guaranteed only where it has been confirmed in writing.

Where necessary, a vehicle may be replaced with a reasonably comparable alternative. Minor route, stop or vehicle changes that do not substantially reduce the service do not automatically create a right to cancel or receive a refund.

12. Safety-Related Refusal or Termination

Participation may be refused or ended where a guest:

  • Is under the influence of alcohol or drugs
  • Ignores guide or driver instructions
  • Operates an ATV or equipment dangerously
  • Creates a risk to themselves, staff or other guests
  • Damages or intentionally misuses a vehicle or safety equipment
  • Uses threatening, abusive or disruptive behaviour
  • Provides false or incomplete safety-related information

Where participation is refused or terminated because of the guest’s conduct, a refund will normally not be provided.

13. Health and Participation Conditions

Guests are responsible for determining whether an activity is suitable for their health, physical condition, age and experience.

Pregnant guests, guests with serious medical conditions and guests with mobility limitations should contact us before confirming a reservation.

Failure to disclose a relevant condition may result in participation being refused for safety reasons. Refund eligibility will depend on the timing of the disclosure and the cancellation conditions applicable to the reservation.

14. Photography and Additional Services

Professional photography, drone services, costumes, decorations, special routes and other optional services are not included unless confirmed separately.

Where an additional service has been reserved from a third-party supplier, that supplier’s cancellation charges may apply.

Non-refundable preparation or supplier costs may be deducted from any refund where legally permitted and where those conditions were communicated before confirmation.

15. Deposits and Advance Payments

Some reservations may require a deposit or full advance payment.

The amount, payment deadline and refund conditions will be communicated before the reservation is confirmed.

Failure to make the required payment by the stated deadline may result in the reservation being released without further notice.

A deposit may be retained where the guest cancels after the applicable cancellation deadline or where the reservation involves non-recoverable supplier costs.

16. Refund Method

Approved refunds will normally be made using the original payment method, unless another method is mutually agreed.

The time required for the refunded amount to appear may depend on the bank, card provider, payment service or international transfer process.

Cappadocia Bayar Travel is not responsible for delays occurring after the refund has been submitted to the relevant financial institution.

Bank charges, currency-conversion differences and payment-provider fees may be deducted where they are not recoverable and where permitted by applicable law.

17. Partial Refunds

A partial refund may be considered where:

  • Only part of a confirmed service can be provided
  • A materially different service is accepted by the guest
  • A private reservation has recoverable and non-recoverable components
  • Third-party services have already been paid for

No refund will normally be provided for services that were properly delivered but voluntarily left unused by the guest.

18. Force Majeure and Events Outside Our Control

Cappadocia Bayar Travel is not responsible for losses or additional expenses caused by circumstances outside its reasonable control, including:

  • Severe weather and natural events
  • Road closures
  • Government or public-authority decisions
  • Security incidents
  • Transport disruption
  • Strikes
  • Telecommunication or infrastructure failures
  • Other extraordinary and unavoidable circumstances

Where possible, we will offer a reasonable alternative, postponement, credit or refund according to the part of the service that could not be provided.

19. Refund Requests and Complaints

Refund requests should be submitted as soon as possible and should include:

  • Reservation name
  • Tour and reservation date
  • Telephone number
  • Amount paid
  • Payment method
  • Reason for the request
  • Relevant messages, receipts or supporting information

We will review the request together with the confirmed reservation conditions, communications, supplier costs and services already provided.

20. Mandatory Consumer Rights

Nothing in this policy limits any mandatory consumer right that cannot legally be excluded or restricted.

Where a provision of this policy conflicts with a mandatory rule of applicable law, the mandatory legal rule will apply.
